There are many aspects that pertain to a successful software implementation. One the most overlooked, is the area of "Business Process Analysis." In real terms, you can listen to all the bells and whistles (read features) provided to you by a software sales representitive, on any given software product, but if those features don't match your companies requirements, you may be in for a rough time. When speaking to any software vendor, it is imperative that you know your companies daily business processes, create a document that lays them out and then communicate them to all prospective vendors. When a vendor know how you do business, that vendor will be required to prove to you that they can match those requirements. The document doesn't need to be overly complex, but it should be clear enough that everyone is on the same page.
In terms of a vendor, this document alone will give them a static target to address. And for you, you'll have the assurance that everyone is quoting on the same requirements. In addition, the more detailed the document is, the more value it has to your company. Often, such a document can be the start of an "Operations Manual" - something that staff can refer back to, ongoing.
Nobody, in your company, or a vendor wants to waste time chasing something that is not clearly spelled out.
